Events Coordinator

About the role: 

The Events Coordinator plans, and executes events ranging from evening themed nights to exhibitions & fairs, promotions & product launches and social events. They diligently run the event/program behind-the-scenes and monitors every stage very closely whilst ensuring expected quality standards and developing positive and repeat client relationships in the process.

 Position: Full-Time

 

What you’ll be doing: 

  • Planning, preparing, and delivering quality events;
  • Liaising with clients to ascertain their specific event requirements (site visits, briefings and meetings);
  • Producing detailed proposals of events including timelines, venues, suppliers, legal obligations, staffing & budgets;
  • Booking of venues and suppliers;
  • Securing the best possible prices from suppliers and hirers;
  • Ensuring that all events planned adhere to company insurance policy as well as national and EU legal, health and safety legislations;
  • Coordinating venue management, caterers, stand designers, contractors and equipment hire;
  • Coordinating staffing requirements and staff briefings prior to the event;
  • Planning site layouts designs, running orders for performers and detailed timelines;
  • Making sure that all performers have adequate time for their rehearsals;
  • Liaising with marketing and PR teams to promote the events;
  • Liaising with clients and designers to create a brand for the event and organizing the production of posters, catalogues, and backdrops (if the event requires);
  • Coordinating suppliers, handling the client queries, and troubleshooting on the day of the event to ensure the smooth running of the event;
  • Making sure that all events are carried to the best possible effort with specific attention to detail;
  • Overseeing the dismantling and removal of equipment from the event and clearing the venue efficiently;
  • Ensuring that all staff are working, keeping to the proposed timeline and deadlines.
  • Collection of time sheets from staff after events;
  • Make sure that any purchase orders and invoicing are sent to the client according to the company operating procedures;
  • Building relationships with new and existing clients via email, phone, and in person;
  • Supporting the sales team with client requests, meetings, and event requests;
  • Researching markets and identifying new opportunities;
  • Developing new business and reaching sales targets;
  • Carrying out event and client evaluations to assess and improve the experience offered by Jugs@Malta Ltd.

 

Ideal candidate: 

  • Organized and self-motivated team player with an eye for detail;
  • Excellent presentation skills;
  • Proficient problem-solving skills and able to work well under pressure;
  • Willing to work flexible hours including nights, weekend & public holidays;
  • Technical knowledge in Audio/Visual requirements;
  • Able to communicate well in both English and Maltese;
  • In possession of a clean driving license.
