Events Logistics Coordinator

About the role: 

The Events Logistics Coordinator is the person who is fully aware of all operations, logistics and events within the company. The position is a point of reference for all the planning, running, behind-the-scenes and handling of all events carried out at JUGS. The Events Logistics Coordinator makes sure all logistical elements for all kind of events carried out by JUGS run smoothly and efficiently.

Position: Full-Time

 

Key Responsibilities: 

The position will be responsible for managing a team of events crew, warehouse crew and technicians to logistically plan, set up, operate and dismantle all events at JUGS. The events logistics coordinator will: 

  • Make sure all logistical elements for all events run smoothly and address any issues that arise
  • Oversee event setup, execution, and breakdown are being done efficiently, in time and to a high-quality standard
  • Collaborate with event coordinators to understand and identify the needs of the event.
  • Schedule events crew and technicians for the setup, execution and breakdown of upcoming events through an online scheduler
  • Makes sure online scheduler is always up-to-date with plans for all upcoming events
  • Book extra part-time staff as needed depending on the work-load at the time
  • Schedule vans/trucks for event setups & dismantles and book additional vans as needed
  • Coordinate with venue managers for event setup/dismantling times
  • Producing detailed logistical proposals for events (incl timelines, venues, suppliers, legal obligations, staffing and budgets).
  • Planning daily plans of work for all the events crew
  • Collaborate with Warehouse Coordinator to schedule and plan material picking for upcoming events
  • Organize material pickups & returns from suppliers
  • Assisting event coordinators in planning site layouts and detailed timelines to ensure a smooth handover to events crew, technicians and subcontractors.
  • Ensuring that all events planned, adhere to company insurance policy as well as national and EU legal, health and safety legislations.
  • Planning and leading the weekly operations meeting with all event coordinators to go through the plan of all upcoming events and solve any open issues
  • Encourage event coordinators to keep all events up to date with timelines and material requirements
  • Analyze post event evaluations for logistics improvements in future events
  • Identify training needs for events crew and improved modes of practice

  • Detail oriented – you ensure every aspect of logistics runs smoothly and efficiently
  • Proven experience in events logistics coordination with knowledge of local venues and suppliers
  • Able to work effectively under pressure to meet tight deadlines with hands-on experience in managing event logistics, from transportation to on-site setups & dismantles.
  • Flexibility to work with the team during nights, weekends, and public holidays as needed
  • Clean driving license
  • Familiarity with Health & Safety protocols and regulations.
