Ultimate Guide: Corporate Event Planning Checklist

Ultimate Guide: Corporate Event Planning Checklist

Ready to make the switch from hosting virtual Zoom parties back to organising corporate events in the real world? Where do you even start from? Planning an in-person event can be overwhelming and stressful, but we’re here to guide you through the entire process. From setting a date to picking the right theme and everything in between, our corporate event planning guide below will help you keep track of every detail and host an unforgettable company event.

Let’s get started:

Establish the Event Essentials

To organise a corporate event, start by answering the following questions: Who are your guests? What type of event would you like to host? When and where will the event take place? Once you’ve got these basic details sorted, you’ll be in a better position to set a budget and determine the type of event you would be able to host: from the venue and décor, down to the catering and entertainment. Gather as much detailed information as possible at this point to ensure a smooth event planning journey

Bring the Experts on Board

Now that you’ve got a vision mapped out, you’ll need the right people to help you bring it to life, and when we say it takes a village, we’re not kidding. Get in touch with event organising companies, which will handle the logistical headaches of finding your perfect venue and caterer, helping you set (and stick to) timelines and schedules, carrying out risk assessments, designing and executing an event concept which will leave a lasting impression, as well as seeing that the event runs smoothly on the day.

Pick the Perfect Theme

Your event’s theme should be fun and follow the latest trends, right? Well, only if it works with your event and the resources you’ve dedicated to it, especially the budget. Get inspired by researching event themes online and, once you find your perfect match, make sure that the theme is consistent throughout your event. Go for a bespoke event setup with unique décor and choose a dress code, food and entertainment (including event hosts!) which fit the theme.

Secure the Right Entertainment

The last thing you want is for your guests to get bored, so plan a varied programme to keep them entertained. Without a doubt, live music will certainly liven an event up, but remember to keep your guests and company culture in mind when choosing the best musical fit. To get the party started, you can’t go wrong with a local band or DJ, but you can also add a flair of fun to your event through some more unique forms of entertainment, such as aerial dancers or roaming magicians, which will go down a treat with guests of all ages. Once you’ve done your research and found the right acts, book them immediately to avoid disappointment.

Make it Memorable

Your company’s event is going to be one for the books, so you’re going to want something to remember it by. Set up a photobooth where guests can get their photo taken and keep it as a souvenir of the night. Roaming event photographers and videographers will also help you capture special moments which your team will be able to look back on, and create content which could potentially help your organisation attract new recruits. We would suggest sharing your event programme with your photographers or videographers before the event, so that they can plan their way around the entire venue without missing any highlights.  Need some help?
