5 questions to answer before choosing a venue for your winter event

Christmas is less than two months away, so if you’re looking to plan a corporate event in the coming weeks, it’s time to lock down your date and venue. Before you let the holiday panic get the best of you, we’ve put together some questions to ask yourself when choosing your venue for an end-of-year event, together with some tips to help you make the most of what the winter season on the Maltese Islands has to offer.


What would your ideal venue size and layout be?


When it comes to event planning, the first thing on your to-do list should be the guest list. Once you’ve determined the number of guests you’ll be inviting, you’ll be in a better position to start searching for venues which meet your requirements. While you don’t want the venue to seem too small or crowded, especially if you’re planning a larger gathering, you also don’t want the space to feel empty. 

However, you also need to keep your event agenda in mind when choosing a venue as seated events, such as a gala dinner or a conference, would require a bigger space than more casual standing events, such as your company’s staff party. In any case, the comfort of your guests is key.


Do you want an indoor or outdoor event?


Although there’s a slight chance that a bout of bad weather can (literally) rain on your parade, there’s no need to rule outdoor venues out entirely because winters on the Maltese Islands tend to be quite mild – just be sure to check the weather forecast regularly and always have a Plan B. A cosy atmosphere can still be created on rooftops or inside gardens by installing heaters or an outdoor fire pit, while fairy light canopies are sure to add extra warmth and a magical touch to your venue. 

If you’re opting for a safer indoor option to accommodate the weather, you can still give your venue a winter holiday feel by manipulating the lighting to create a warmer atmosphere and switching up stiff seating with plush armchairs and sofas which are cosier and more comfortable.


Would your guests be able to reach this venue easily?


Another important factor to consider is the venue’s location and how easy it will be for your guests to get to, whether they’re arriving by car or using public transport. If parking in the area is limited or there are no bus stops in the venue’s vicinity, you should consider offering taxi vouchers to your guests to ensure a hassle-free start to your event. 

The same vouchers could also provide you with more peace of mind when the time comes for your guests to head out, particularly if you’re planning to have an open bar.


Is this a space your attendees would be comfortable in?


Should you think outside the box when deciding where your event will take place? Yes. Should you keep the needs and interests of your guests in mind when making that decision? Also yes. Try not to lose sight of the fact that you are planning the event for your guests and to accommodate different demographics accordingly.

If your aim is to plan a mature, sophisticated Christmas event, seek out a venue that exudes luxury and glamour, and couple it with a fitting theme and dazzling décor, just like we did for this Futuristic Fantasy party. On the other hand, if you’re organising an event for a younger crowd who would be wowed more by good entertainment and all that jazz, rather than the venue’s décor, go for a venue with good acoustics, which has enough space for a stage, roaming entertainers and, of course, a dance floor.


Is the venue equipped for the type of event you want to organise?


Does the venue have a stable Wi-Fi connection? Is there enough space for the live band or the DJ booth? Can the space accommodate the lighting set up which you had in mind?
